Introduction to Zoom


To join a virtual training/meeting using zoom, simply open the meeting invite and select the link. If the link does not allow you to select it, copy and paste it into your browser to go open.

If you have Zoom installed on your device, you will be asked to open Zoom. Click “Open Zoom.”

If you do not have Zoom installed, it will ask if you want to install or use the web browser. You do not need to install Zoom to enter the meeting from your web browser.

To connect using a mobile device, select the link in the Zoom invite on your mobile device. Either enter using the Zoom app (if it is installed) or enter using the web browser.
If you prefer to connect just using audio, you can tap the numbers listed in the “One tap mobile” portion of the invite, or you can dial the numbers listed in the “Dial by your location.” 
These numbers will be specific to the meeting, so use the phone number that is sent to you in the meeting invite. 
If Zoom is installed on your device, you will see the Zoom app screen. To access your profile, select your picture or initials in the top, right of window.

To access your settings, select the gear in the top, right of window.

For desktop/laptops, the meeting control bar is at the bottom of the screen. Select the microphone to mute/unmute. Select camera to turn on/off. Select chat to access the chat.
For mobile devices, touch screen to make options appear. Meeting control bar is at the bottom of the screen.
 

Tips for Participating in Meetings/Trainings

Connect to a Zoom from a quite space with few distractions. 
Mute your microphone, when not talking so that any unexpected noises do not disrupt the presenter.
Use headphones to prevent audio and speaker feedback.
Test camera and microphone ahead of time (in the Zoom app’s Settings screen).
To change your camera background, in Zoom’s app Settings screen, select Virtual Background. Upload a picture, use a stock picture, or blur your background.
To share screen or other content, select the screen icon. Make selection from options that appear. Select again to end screen sharing.
If you have a question or would like to interject, raise a virtual hand. Click the Reactions button in the meeting controls and select Raise Hand. Presenters will receive a notification that your hand is raised. Select again to lower it. Interact by using other reactions as relevant.

Troubleshooting

If you lose sound or video, try refreshing the browser window or log out of Zoom and reconnect via link sent by coordinator.
Make sure the Zoom app does not have any updates.
Check your internet connection.


Introduction to MS Teams


To join a meeting/training, click “Join Microsoft Teams Meeting” on the calendar invite sent to your email.


From a computer, if you do not have or do not wish to install the Microsoft Teams app, click the “Join on the web instead” option.


From a mobile device, if you have not previously downloaded the MS Teams app, after clicking on the “Join Microsoft Teams Meeting” from the invitation, you will be asked to install the app. Please do so.


If you do not have a Microsoft Teams account, click “Join as guest”. You will then be required to enter your name, first and last please.


Enable your camera and microphone at the onset. You will have the option to turn them off once you have joined the meeting.


Next, you will be required to enter your name. Then, you will be entered into a virtual lobby where you will wait for the host to admit you to the meeting. Here, you can turn your microphone and camera on and off in preparation for the meeting.


For desktop users, your meeting will have the controls bar at the bottom of the screen. Use the camera icon to turn on and off your screen. Use the microphone icon to turn on and off your microphone. Use the text bubble icon to access the chat. Please ensure that your microphone is muted. Only unmute if you have a question or have been given the floor to speak. After you have finished, please mute your microphone again.


These same options appear on the mobile app. Touch your screen to make these options appear. However, the chat option is located at the top of the screen.


If people in the meeting cannot hear you, you might be muted or you might not have configured your microphone correctly. To change your speaker, microphone, or camera settings when you are on a call or in a meeting, select More Options, then show device settings in your meeting controls. Then, select the speaker, microphone, and camera options you want.


Users can blur their backgrounds after joining meetings. To do that, select More Options, and select the “Blur my background” option. To undo this, click the more options button and select “don’t blur my background.”


To share your screen with other participants, click the share option. If you want to share a video, click “include system audio.”


During a meeting, you can raise a virtual hand to let people know you want to contribute without interrupting the conversation. Just click the “Raise your hand” button in the meetings control. Everyone will see you have your hand raised. Meeting presenters will receive a notification that your hand is raised, and they can lower it once you have had a chance to talk. You may also raise a question or contribute to the meeting through the chat room.


Troubleshooting

When you want to speak, please take yourself off mute by clicking the microphone icon.

If you lose sound or video, try refreshing the browser window or try to log out and reconnect to the meeting via the meeting link sent by the coordinator.

If you are having bandwidth issues, try turning off your video to improve the quality of connectivity.

System Requirements include:

·            - Must be equipped with a microphone and camera

·           - Video and audio communication ready and connected to a high-speed internet connection (minimum of        25 Mbps)
